Accommodation

Accommodation has been arranged at specially reduced Conference rates with Conrad Jupiters. To arrange accommodation for the Conference, please use the Registration Form (DOC, 246 KB) provided. Payment must be made in full upon registration. No bookings will be accepted without payment.

Delegates are advised that only a limited number of rooms are set aside for the conference by the Hotel. These rooms are allocated on a first come first served basis and alternative accommodation off site will be arranged when the conference accommodation is fully allocated.

Hotel Check In

The Hotel check-in time for delegates is after 2pm on the day of arrival. Delegates may check-in prior to this time but will have their luggage stored and delivered to their room later.

Checkout

Checkout is required by 10am therefore delegates must checkout in the morning before the first session on the day of departure. Luggage can be stored for delegates until the Conference concludes.

Late Arrivals and “No Show” Policy

Please telephone Conrad Jupiters (1800 074 344) in advance if you will be arriving late for the Conference. If you fail to check-in or notify the Hotel, your room may be reallocated.

Registrations

Packages and fees

The below registration fees do not include any accompanying persons attending social events, breakfast, morning/afternoon teas or lunches
– additional payment is required for extra guests (see additional options).

Full Conference Package (3 days) includes:

  • 2 nights accommodation
  • All meals including morning/afternoon teas and refreshments
  • Attendance at all keynote, plenary and technical sessions
  • Conference satchel and merchandise
  • Attendance at all social functions

Cost:
Twin Share accommodation $1,595
Single room supplement accommodation $1,795

Two Day Conference Package (2 days)
The two-day package includes one night accommodation and two consecutive days i.e. Wed/Thurs or Thurs/Friday and includes:

  • All meals including morning/afternoon teas and refreshments on the nominated days
  • Attendance at all keynote, plenary and technical sessions on the nominated days
  • Conference satchel and merchandise
  • Attendance at Wednesday or Thursday night social functions

Cost:
Twin Share accommodation $1,245
Single room supplement accommodation $1,345

One Day Conference Package (1 day)
The one-day package may be used on any single day and includes:

  • Attendance at all keynote, plenary and technical sessions on the nominated day
  • Lunch and morning/afternoon teas and refreshments on the nominated day
  • Conference satchel and merchandise

Twin Share accommodation - conditions and requirements

HI Event Management will not allocate share accommodation unless the name of the person you wish to share with is included on the registration form.

You must indicate a sharer for all nights of your stay. A single supplement will be payable for any night that you fail to nominate a sharer.

If the person you are sharing with cancels their booking, you will be notified and transferred to a single supplement unless you can supply another sharer.

Dietary Requirements

Should you have special dietary requirements (e.g. Vegetarian, diabetic, gluten-free); please let us know on the Registration Form so that we can pass your request through to the Resort’s catering division. Please Note: It is your responsibility to advise catering staff that you made arrangements for your special dietary requirements when served your meal.

Conference Dress

Smart casual clothing is suggested for the Conference during the day. As room temperatures change in individual Conference and hotel room, we suggest you bring a jacket. Nights can be cool near the coast, even in November!

Cancellations

If a Registrant is unable to attend, Conference component and accommodation fees (if room can be re-booked) are refundable if cancellation is made in writing 14 days prior to the event. A 10% administration fee will be deducted from any refund. No refunds will be given for cancellations after 9th November 2009.

If you wish to cancel or change your accommodation or Conference details, please contact HI Event Management. A substitute will be accepted if a Registrant is unable to attend.

Additional options

Options additional to the standard packages are available, such as:

  • Single night’s accommodation (includes breakfast) $240 ($130 per person twin share)
  • Social functions $130 per additional dinner
  • Additional lunch $60

Coach Transfers

Brisbane CBD (Outside Roma St Station) & Garden City to Conrad Jupiters and return each day.
